The Mango Pop manual
Everything Mango Pop does, in plain language — free to read, no account needed.
Getting started
Mango Pop works with Gmail. When you sign in with Google, you grant Mango Pop permission to read and manage your mail on your behalf — your password is never seen or stored by us.
- Connect more than one Gmail account from the Accounts page. All your mail merges into a single list, color-coded by account.
- Your first sync pulls in recent mail and starts sorting it. Big mailboxes can take a few minutes — you can use the app while it catches up.
- Install it like an app — on iPhone or iPad, open mangopop.email in Safari, tap Share, then Add to Home Screen. On a computer, use your browser's install option.
- Add addresses that forward into Gmail — from the Accounts page you can add an address that forwards into a connected mailbox (like an old work address). Mango Pop labels that mail in Gmail and shows it as its own color-coded account — no extra sign-in needed.
- Light or dark — switch any time from the account menu (top right), or let it follow your device automatically.
How to: connect a Gmail account
- 1Open the account menu (top right) and choose Accounts.
- 2Click Add account and sign in with Google.
- 3Approve the permissions — Mango Pop never sees your password.
- 4Wait a moment while your recent mail syncs in, color-coded by account.
Your mail, sorted
Instead of one endless pile, Mango Pop sorts incoming mail into streams so each kind of message lives where it belongs:
- Inbox — mail that needs you now.
- Someday — newsletters and low-priority reading for when you have time.
- Receipts — orders, shipments, invoices, and travel confirmations. Deliveries are tracked automatically and closed out when a package arrives.
- Gatekeeper — first-time senders waiting for your verdict (more below).
- Archived — everything you've cleared, kept safe and searchable. Archiving is never deleting; bring anything back with one tap.
Move any conversation between streams with the move button on a row or inside the thread. The little number on each stream's pill counts what's unread there.
Curious why something landed where it did? Tap the Why? link on a conversation to see the exact reason recorded when that decision was made — yours or the assistant's.
How to: move a conversation to another stream
- 1Open the conversation (or hover its row in the list).
- 2Click the move button.
- 3Pick the destination stream — Inbox, Someday, Receipts, or Archived.
The Gatekeeper
Every sender who emails you for the first time stops at the Gatekeeper instead of landing in your Inbox. For each one you choose:
- Yes — their mail goes to your Inbox from now on.
- No — their mail is kept out.
- Unsubscribe — Mango Pop sends the mailing list's own unsubscribe request for you and keeps the sender out. It never unsubscribes you from anything Gmail itself flagged as spam.
Change your mind any time from the Senders page, where every approved and blocked sender is listed.
How to: handle a first-time sender
- 1Open the Gatekeeper from the stream pills above your inbox.
- 2Read the sender's message preview.
- 3Choose Yes, No, or Unsubscribe.
- 4To reverse a decision later, open Senders and flip the sender back.
The assistant
The assistant is the panel on the right (or the chat bubble on mobile). It's not a generic chatbot — it can see your actual mail and act on it. Ask in plain language:
- Find things: "what did Biogen say about the contract?" — it searches all your saved mail, not just recent messages.
- Check your world: "any packages arriving this week?", "what subscriptions am I paying for?", "did Samantha open my email yet?"
- Get things done: "archive that", "unsubscribe from all the Nordstrom mail", "remind me to pay the water bill Friday", "mark this read".
Anything the assistant changes shows under its reply with an Undo button, and your lists update on their own. It drafts replies in your voice by studying how you actually write. You can also give it standing instructions — rules like "receipts from airlines always go to Receipts" — that it remembers forever.
How to: ask the assistant for help
- 1Open the assistant panel on the right (or tap the chat bubble on mobile).
- 2Type or dictate your request in plain language, like "archive everything from Nordstrom".
- 3Review what it did under its reply — tap Undo if it got it wrong.
Writing email
- Speak or type — tap the microphone in the composer (or the assistant box) to dictate. Your browser asks for mic permission the first time.
- Templates — type / on an empty line to drop in a saved template. Manage them on the Templates page.
- Autosave — drafts save every few seconds. ⌘+Enter sends.
- Send later — schedule a message for exactly when it should arrive.
- Open & click tracking — tracked emails report opens and link clicks on the Sent page, and Mango Pop alerts you the first time someone opens one.
- Attachments — up to Gmail's 25 MB limit per message.
- Signatures — set a different signature for each connected account on the Accounts page, including images. It's added to your outgoing mail automatically.
- Ready-made replies — when someone writes to you, the AI quietly prepares a reply in your voice. Tap Reply and it's already in the box to edit — nothing is sent or saved to Gmail until you send it.
- Typo protection — if an address looks misspelled (like gmail.con or hotmial.com), Mango Pop asks before sending and offers a one-tap fix.
- Reply reminders — after you send, choose More → Remind me if no reply. If nobody answers in time, the conversation comes back with a ready-made nudge.
- Follow-up from meeting notes — tap the notebook button in the composer, paste your notes or transcript, and Mango Pop drafts a follow-up with decisions and action items. It never invents details that aren't in your notes.
How to: draft a meeting follow-up
- 1Open Compose (or reply to the meeting thread).
- 2Tap the notebook button and paste your notes or transcript.
- 3Optionally add attendees or instructions, then generate. Edit the draft and send.
How to: send an email
- 1Press c or click Compose.
- 2Add recipients, a subject, and your message — or dictate it with the microphone.
- 3Press ⌘+Enter to send. Drafts save automatically every few seconds.
How to: reply to a conversation
- 1Open the conversation from your inbox.
- 2Click Reply under the last message — it's addressed to the right person automatically, even if you sent that last message.
- 3Write your reply and press ⌘+Enter.
How to: schedule a send for later
- 1Write your message in the composer.
- 2Choose Send later instead of Send.
- 3Pick the date and time. The message waits on the Scheduled page until it goes out.
How to: get reminded if nobody replies
- 1Open a conversation where your message is the last one.
- 2Open the More menu and choose Remind me if no reply.
- 3Pick 1 day, 3 days or 1 week. If no reply comes, it returns to your inbox — tap Draft a nudge for a ready follow-up.
How to: print an email
- 1Open the conversation.
- 2Open the More menu and choose Print.
- 3Your browser's print dialog opens with just the email content — no buttons or side panels.
Staying organized
- Today tags — conversations with an open to-do or reminder show an amber Today tag right in the list.
- Super Save — marks a thread as untouchable: it can't be archived, deleted, or swept up in a bulk action until you un-flag it. Protected mail moves out of your Inbox, Someday and Receipts and lives on its own Super Saved page; remove protection to send it back.
- Snooze — park a thread until a date. Parked threads wait on the Snoozed page; scheduled outgoing mail waits on the Scheduled page.
- Select several at once — tick the circles on any list (shift-click for a range), then use the colored buttons above the list to Set aside, Super Save, Archive, Snooze, Delete or mark read — with Undo.
- Files — every attachment from every account gathered on one searchable page, so you never dig through threads for a document again.
- Sender profiles — tap a sender's avatar to see your history together: a summary of the relationship, private notes you keep on them, files they've sent you, and a switch to mute their notifications.
- Stance cards — on a long back-and-forth, Mango Pop sums up where the other side started versus what they're asking now, so you walk into your reply knowing what changed.
- To-dos & reminders — the assistant keeps a task list from your mail; check items off in the morning digest or by telling the assistant.
- Search — search accepts plain English ("invoices from Delta in March") or Gmail-style operators, across every connected account.
- Bulk actions & Undo — select many rows, act once, and undo from the toast if you change your mind.
- Set Aside — your "deal with it later" shelf for replies, tickets, bookings and passes. Choose Set aside on an email (or on several selected ones); find them with the Set aside pill above the inbox.
- Mute — silences a noisy reply-all chain: new replies skip your inbox. Choose Unmute in the More menu to undo.
- Bundles — on Someday and Receipts, three or more emails from one sender fold into a single row you can open, or archive all at once.
- Delivery schedules — on Someday and Receipts, choose As it arrives, Once a day (9 AM) or 3 times a day. Mail waits until then; tap Show now to see it early.
- Open links (⌘O) — inside an email press ⌘O (Ctrl+O on Windows) or choose Links in the More menu to see every link in the conversation.
- Live summary — the one-line summary at the top of a conversation updates itself when a new reply arrives.
How to: find an old email
- 1Press / or click the search box.
- 2Type plain English ("invoices from Delta in March") or Gmail operators like from:me or in:sent.
- 3Open any result — search covers every connected account.
How to: see mail you've sent
- 1Open the account menu (top right) and choose Sent mail.
- 2Or type in:sent in the search box.
How to: snooze a conversation
- 1Open the conversation or select its row.
- 2Choose Snooze and pick a date.
- 3It leaves your inbox and returns on that day; find it meanwhile on the Snoozed page.
How to: mute a conversation
- 1Open the conversation.
- 2Open the More menu and choose Mute.
- 3It's archived, and future replies stay out of your inbox. Choose Unmute to undo.
How to: set mail aside for later reference
- 1Open the email (a ticket, booking or pass).
- 2Open the More menu and choose Set aside.
- 3Find it under Set Aside in the account menu; tap Back to inbox to return it.
How to: batch newsletters and receipts
- 1Open Someday or Receipts.
- 2Use the Delivery picker at the top and choose a schedule.
- 3Waiting mail shows a count and the next delivery time; tap Show now anytime.
Areas
Areas let you look at one part of your life at a time — up to five of them, like "Client work" or "Family". They don't move any mail; they change what you're looking at. Tap an Area above the inbox and the list narrows to just that. Create one with the New area button, or simply tell the assistant: "make an Area for my Biogen outreach."
How to: create an Area
- 1Click New area above the inbox (or ask the assistant to make one).
- 2Name it and describe what belongs — people, topics, or projects.
- 3Tap the Area's pill above the inbox any time to see just that part of your mail.
Calendar, packages & more
- Daily digest — a 7 am (your timezone) summary of what needs you. Set working hours so scheduled sends land when you're reachable.
- Package tracking — shipment emails become live deliveries with ETAs that close out on arrival.
- Subscriptions — recurring charges spotted in your mail, gathered on one page.
- Calendar awareness — the assistant can check your free/busy when you ask about scheduling.
- Schedule card — under the morning greeting, see Today or This Week's meetings from every connected calendar, color-coded by account, with a Join button for Meet, Zoom and Teams. All-day blocks without guests are hidden. While Mango Pop is open, you get a banner and desktop alert 15 minutes before each meeting.
- Explain this file — open a PDF attachment and tap Explain this file. You get what the file is, what needs your response, and the key dates, amounts and names.
- Client dossiers — open a contact's panel and choose Open the [company] dossier to see everyone you know there, recent threads, files, open items and a brief on where things stand. Personal addresses like Gmail or Yahoo don't get a dossier.
Keyboard shortcuts
Press ? anywhere to see every shortcut. Highlights: c compose, / search, g then a letter to jump between pages (for example g i for the Inbox), and ⌘+K for the command palette, which jumps to any page or action by name.
Shortcuts are yours to change: open the shortcuts panel, click any shortcut under "Your shortcuts", and press the new key. Conflicts are flagged, and Reset all restores the defaults.
Phone, tablet & alerts
Mango Pop is a full app on iPhone and iPad once added to your Home Screen (Safari → Share → Add to Home Screen). Enable notifications to be alerted when important mail arrives or a tracked email is opened. Pull down on any list to refresh. With People only on (the default), alerts and sounds fire only when a real person writes — newsletters, receipts and no-reply mail arrive silently. Swipe an email left or right to act on it; choose what each swipe does underSwipe actions on the Accounts page. On a computer, Mango Pop occasionally shows a quiet tip naming the keyboard shortcut for what you just clicked.
Sharing with your team
On the Team plan you can share inboxes with teammates, escalate threads to a person, and see who's handling what. Invite people from the Team page — they'll get an email with a link to join.
How to: invite a teammate
- 1Open the Team page.
- 2Enter their email address and send the invitation.
- 3They click the link in their email to join your shared inbox.
Your plan
Plans range from Free to Team, differing in how many Gmail accounts you can connect and how many AI drafts are included each month. See Plan & billing from the account menu for the current lineup. If a feature asks you to upgrade, the prompt explains exactly which plan unlocks it. New accounts can try Solo free for 7 days (monthly billing); cancel before the trial ends and you simply return to Free.
How to: upgrade your plan
- 1Open the account menu (top right) and choose Plan & billing.
- 2Pick the plan that fits and complete checkout.
- 3Your new limits apply right away — manage or cancel any time from the same page.
Privacy & security
- Your Google password is never seen by Mango Pop — access runs through Google's own sign-in.
- Access tokens are stored encrypted and every account's data is walled off from every other account.
- Disconnecting an account removes its mail and tokens. You can also revoke Mango Pop from your Google account settings at any time.
Troubleshooting
- A page looks blank or stale — pull to refresh (or reload the page). Counts and lists catch up on their own.
- "Gmail is slow right now" banner — Gmail itself is answering slowly; Mango Pop shows your saved mail in the meantime and the banner clears itself.
- Asked to reconnect Google — the permission expired or was revoked; sign in again from the Accounts page and everything resumes.
- The home-screen icon opens an old version — delete the icon and add it again from mangopop.email.
- Still stuck? Email hello@mangopop.email — a human reads it.
